Job Summary

The Data Administrator II is responsible for managing all external data updates with retirement plan recordkeepers and supporting internal teams with accurate and timely information maintenance. This role ensures that plan data remains current, compliant, and aligned with organizational standards. The position requires strong attention to detail, effective communication skills, and the ability to collaborate across departments during both routine and high-volume periods.

Job Responsibilities

External Data Maintenance

  • Process all external updates related to plan amendments or administrative changes by communicating directly with recordkeepers.
  • Submit updates via email or through recordkeeper-specific forms, ensuring accuracy, completeness, and adherence to established procedures.
  • Maintain organized documentation of all updates submitted to recordkeepers.

Recordkeeper Form Support

  • Complete recordkeeper forms on behalf of internal departments during busy season or as needed.
  • Serve as a subject-matter resource for external update processes and recordkeeper requirements.

Access Management

  • Add, modify, and remove employee access across all recordkeeper platforms in accordance with internal controls.
  • Conduct periodic reviews of access lists to ensure accuracy and compliance with security protocols.

Cross-Functional Collaboration

  • Partner with internal teams to gather necessary information for updates and ensure timely submission.
  • Provide guidance and support to colleagues regarding recordkeeper processes, forms, and data requirements.

Requirements

  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Effective written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Proficiency with standard office software and comfort learning new systems.
  • Experience working with retirement plan recordkeepers or within the retirement services industry.
  • Familiarity with plan amendments, recordkeeper forms, or data management workflows.
