Retirement Plan Administrator

JOB SUMMARY

At FinDec, the Retirement Plan Administrator plays a critical role in delivering accurate, compliant, and high-quality retirement plan administration services. This position supports our mission to provide reliable, people-forward service by combining strong technical expertise with collaborative workflows, technology, and continuous process improvement.

This role is responsible for the day-to-day administration of qualified retirement plans, including 401(k), Profit Sharing, Defined Benefit, and 403(b) plans, ensuring compliance with ERISA, IRS, and plan document provisions while contributing to operational excellence across teams.

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Administer qualified retirement plans in accordance with plan documents, ERISA regulations, and IRS/DOL requirements.
  • Perform eligibility tracking, contribution calculations, payroll reconciliation, mandatory distributions and trust asset balancing.
  • Conduct compliance testing and ensure timely preparation of required filings (e.g., Form 5500 and related schedules).
  • Serve as a knowledgeable resource to plan sponsors and advisors, providing guidance on plan operations and regulatory requirements.
  • Communicate clearly and proactively with clients regarding deadlines, data needs, and compliance obligations.
  • Partner with internal and external teams (Operations, Compliance, Relationship Managers, Congruent, EGPS, etc) to maintain data integrity and workflow efficiency.
  • Ensure accurate plan data and workflow progression across FinDec platforms, including ASC, DGEM/DGEMS, Salesforce, SRT, and PenChecks.
  • Use system reports, Excel, and reconciliation tools to resolve discrepancies, support compliance testing, and maintain trust-level accuracy.
  • Maintain timely system updates and adapt to new platforms, software, and automation tools to support efficiency, scalability, and cross-team visibility.

OTHER FUNCTIONS AND RESPONSIBILITIES

Perform other duties as assigned. 

SKILLS AND QUALIFICATIONS

  • College degree in Accounting, Finance, Mathematics, or related field (or equivalent experience).
  • Strong analytical, organizational, and problem-solving skills.
  • Proficiency in Excel and Microsoft Office tools.
  • Excellent customer service, written and verbal communication skills.
  • Experience with retirement plan administration systems and workflow tools.
  • Experience working in a collaborative, process-driven environment.
  • Willingness to further education by earning designations through ASPPA

REQUIRED

  • Minimum 2 years related experience or equivalent combination of education and experience.

REQUIRED LICENSE/CERIFICATIONS/TRAINING

Retirement Plan Administrator must obtain the following certifications upon being hired to the position: Qualified 401(k) Administrator Designation (QKA)

PHYSICAL REQUIREMENT/WORK ENVIRONMENT 

Work is primarily sedentary in nature, no special demands are required.
