We specialize in 401(k) and defined benefit plan design and administration, supporting nearly 1,000 plans. Our team of 18 is experienced and collaborative, with exceptional employee retention: the only administrator departures in the past 20 years have been due to retirement or a career change. We are seeking a responsible, talented, and dedicated Retirement Plan Administrator / Consultant who enjoys technical problem solving, client service, continuous learning, and taking ownership of a book of small-employer retirement plans. This role can be fully remote, hybrid, or based in our Warwick, RI office, and it offers a potential growth path into consulting or management for the right candidate.

YOUR RESPONSIBILITIES

  • Manage an assigned caseload of 80+ small-employer 401(k) plans, serving as a trusted point of contact for clients, advisors, recordkeepers, and internal team members.
  • Perform annual compliance testing, including Top Heavy, ADP/ACP, 401(a)(4), and 410(b) testing.
  • Calculate employer contributions, including safe harbor, matching, profit sharing, and cross-tested allocations.
  • Complete accrual-based trust accounting, asset reconciliation, and related review work, including plans on recordkeeping platforms and limited pooled or FBO accounts.
  • Prepare Form 5500-SF and other required government filings accurately and on time.
  • Interpret plan documents, provisions, census data, and contribution information to support accurate administration.
  • Communicate clearly and professionally by phone and email, helping clients understand deadlines, requirements, testing results, and next steps.
  • Stay current on retirement plan legislation, regulatory guidance, and industry best practices through self-study, webinars, and continuing education.
  • Contribute to process improvements, special projects, and team initiatives as needed.

WHAT WE’RE LOOKING FOR

  • 3+ years of experience in retirement plan administration, preferably with a TPA firm supporting defined contribution plans.
  • Working knowledge of ERISA, IRS, and DOL rules affecting qualified retirement plans.
  • Experience with annual compliance testing, contribution calculations, Form 5500 preparation, and plan document interpretation.
  • Strong analytical skills, accuracy, and attention to detail, especially when working with census data, plan provisions, calculations, and deadlines.
  • Clear written and verbal communication skills, with a client-service mindset and the ability to explain technical concepts in practical terms.
  • Self-motivation, sound judgment, and the ability to manage priorities independently in a deadline-driven environment.
  • Proficiency with Excel, Word, Outlook, Adobe PDF, and comfort learning industry-specific systems.
  • ASPPA or NIPA designations and experience with Datair Pension software are preferred but not required.

Our standard work week is 37.5 hours with core business hours 9:30-4:00 ET. Like most retirement plan administration roles, this position requires additional hours during tax season but balanced by half day Fridays in the Summer.
