Pension Administration & Client Support Specialist

We are seeking a part-time detail-oriented administrative professional to support defined benefit (DB) and pension plan operations. This role focuses on intake, triage, and administrative coordination, ensuring participant and client inquiries are handled accurately and efficiently while protecting technical staff from unnecessary interruptions.

This is a skilled administrative role in a regulated environment, ideal for someone who enjoys problem-solving, organization, and applying documented procedures.

Key Responsibilities:

  • Serve as first point of contact for participant and client inquiries (calls/emails)
  • Triage issues and resolve routine requests independently; escalate complex matters appropriately
  • Handle routine retiree maintenance (address changes, ACH updates, beneficiary paperwork)
  • Support benefit distribution workflows and forms tracking
  • Assist with annual cycle tasks (census requests, follow-ups, 1099-R tracking, filing support)
  • Coordinate with trust vendors and maintain accurate records
  • Follow and help maintain documented procedures and checklists

What This Role Is Not:

  • Not a call-center position
  • Not purely clerical
  • Not responsible for actuarial calculations or legal interpretations

Qualifications:

  • Strong organizational and communication skills
  • Ability to follow written procedures and make judgment calls within defined boundaries
  • Comfort working with technical or regulated processes
  • Proficiency with email, spreadsheets, and document tracking systems

Preferred:

  • Experience in benefits administration, pensions, financial services, or a compliance-driven environment
