Plan Manager
Automotive Industries Trust Funds
(Dublin CA / Hybrid)

The Automotive Industries Trust Funds are a group of ERISA multiemployer benefit funds serving the union members for District Lodge 190 of the International Association of Machinist & Aerospace Workers. The Trust Fund Office is based out of Dublin,
CA, with union membership extending throughout Northern California. The Trust Funds provide comprehensive health and welfare, pension, and employee assistance benefits to thousands of participants. The Trust Funds have contracted with a third-party
administrator, Health Services & Benefit Administrators, to provide day-to-day administration services.
Role Description
The Plan Manager reports directly to the Boards of Trustees and is responsible for directing and
coordinating client service tasks and works directly with the third-party administrator, ensuring that the needs of the trustees and the needs of the plan participants are being met. Generally, the Plan Manager duties will consist of planning,
organizing and attending trust meetings, presenting required reports, perform trend analysis and make recommendations as required, work with third party professionals (consultants, attorneys, auditors, third-party administrator) to ensure that plan
requirements are met. The Plan Manger will also serve as project manager in overseeing and working with the administration software vendor to ensure that the implementation of new plan designs and/or enhancements to existing plan rules are executed
seamlessly.
The Plan Manager oversees multiemployer benefit plans governed by the Employee Retirement Income Security Act (ERISA) and the Taft-Hartley Act. Responsibilities
include:
- Fund Administration: Managing pension, health, and welfare funds for unionized workers.
- Compliance & Regulations: Have a clear understanding and experience with IRS the Department of Labor
regulations such as, ERISA, HIPAA, HITECH, MHPAEA, Taft-Hartley, and other relevant laws.
- Financial Oversight: Monitoring investments, fund performance, and fiduciary responsibilities, including reviewing and approving all vendor
and Plan Professional invoices for payment.
- Trustee Coordination: Working with labor and management trustees to maintain balanced governance.
- Reporting & Audits: Preparing financial reports and
coordinating audits to ensure transparency.
- Stakeholder Communication: Engaging with unions, employers, and regulatory bodies.
Duties & Responsibilities:
Client
Services:
- Servicing trustee requests as they arise, including attending trust meetings, presenting required reports (i.e., Trust Administration Reports), taking minutes, performing trend analysis and make recommendations as
required.
- Meet with Chairman and Secretary of the Trust Funds on a regular basis to review plans and address issues
- Be able to work with and interact with governmental agencies, IRS, DOL, PBGC
- Attend educational seminars and other
continuing education courses
- General understanding of medical claims processing
- Work with third party professionals (consultants, attorneys, auditors, etc.) in assimilating information to ensure that plan requirements are met.
- Serve
as project manager in overseeing the rollover of new and existing clients into the current business operating systems.
- Generate reports to trustees and other trust fund professionals as necessary.
- Works closely with the business operations
manager to ensure timely processing of benefits and escalating issues that have been brought to the attention to the account executive.
- Creates correspondence, reports, presentations, and meeting notes for internal use or distribution to
clients or vendors.
- Keeps records in relation to the disbursement process.
- Coordinates meetings, activities, and other events as assigned, including scheduling, catering, and meeting room preparation.
- Assists the Client-facing team
with analysis and internal reports to support day-to-day activities; manages internal audit data collection, including financial, DOL, and Operational Controls Audits.
- Manages administrative responsibilities, including invoice preparation and
approval, payable handling for clients.
Vendor Relations:
- Serve as primary point of contact to healthcare providers to resolve problems, share information and exchange data (i.e., eligibility, claim
information, fee schedules, etc.)
- Serve as customer service liaison in responding to and resolving vendor, client, employer, trustee, and member questions.
- Evaluate reporting procedures for efficiency and make recommendations for
improvements as needed.
- Determine benefits on claims that require high-level analysis
- Other duties and special projects as assigned
Qualifications:
- 8+ years’ experience in Taft-Hartley
benefit administration
- Bachelor’s degree
- Excellent communication and interpersonal skills
- Detail oriented and have the ability to respond timely to client requests
- Demonstrated capabilities in leading a diverse
workforce
- Ability to balance team and individual responsibilities and contribute to building a positive team spirit
- Ability to build morale and group commitments to goals and objectives
- Demonstrated project management
experience
- Ability to synthesize complex or diverse information, collect and research data, and use intuition and experience to complement data
- Experienced utilizing Microsoft office suite and other system applications as
needed
