We are looking for a driven, detail-oriented Executive Assistant to support M2B leadership across both operational and business development functions.  In this role, you’ll play an active part in the firm’s sales pipeline, client prospecting, revenue operations, and outbound communications.  The ideal candidate has meaningful exposure to the retirement plan industry, understands qualified plan requirements, and appreciates the fiduciary obligations offered as a 3(16) plan administrator.

 

Key Responsibilities:

Sales / Business Development Support

  • Pipeline Management - Manage the full prospecting lifecycle in PensionPro: logging contacts, tracking proposal stages, scheduling follow-ups, and maintaining accurate pipeline data.
  • Proposal Preparation - Prepare and customize retirement plan proposals for prospective clients, coordinating plan design details, fee schedules, TPA revenue sharing programs, and service narratives for 3(16) fiduciary service offering.
  • Service Provider Agreements - Draft SPAs and related engagement documents, coordinating review and execution with relevant parties.

Client & Advisor Communication

  • Blast Communications - Assist in developing and executing communications to clients and advisor partners — including compliance reminders, industry updates, educational content, and firm announcements.
  • Client-Facing Materials - Support the creation of newsletters, event invitations, and service announcements tailored to plan sponsor and advisor audiences.
  • Brand Consistency - Maintain consistent, professional messaging across all outbound communications and social media platforms that reflects M2B’s brand and deepens existing relationships.

Executive & Operations Support

  • Calendar Management - Provide assistance with scheduling client meetings, advisor calls, and industry events, as needed.
  • Meeting Coordination - Coordinate meeting prep, agendas, and action item follow-through across internal and external touchpoints.
  • Confidentiality - Handle sensitive client, financial, and business information with strict confidentiality.

Qualifications:

  • Bachelor’s degree in mathematics, finance, accounting, or a related field preferred
  • Minimum of 3-5 years of experience executive assistant, sales support, plan administration, or operations role within the retirement plan, TPA, or financial services industry
  • Background knowledge and understanding of qualified defined contribution plan administration and responsibilities, including ERISA and IRS/DOL rules and regulations
  • Familiarity with ERISA fiduciary standards, 408(b)(2) fee disclosures, and plan benchmarking
  • Understanding of qualified plan document provisions — including plan design elections, eligibility, vesting, contributions, and distributions across common plan types
  • Familiarity with 3(16) fiduciary services and the administrative responsibilities associated with serving as a plan’s named fiduciary
  • Familiarity with the recordkeeping platforms for major providers in the industry
  • Proficiency with PensionPro or demonstrated ability to quickly learn retirement industry CRM/pipeline platforms
  • Proficient with Microsoft Office products (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • High attention to detail with the ability to manage multiple projects in a fast-paced environment
  • Exceptional organizational ability and follow-through with minimal supervision
  • Self-motivated with the ability to work independently in a remote setting
  • Collaborative team player with an eagerness to learn
