Plan Administration Manager

SUMMARY / OBJECTIVE:  The Plan Administration Manager is primarily responsible for managing our TPA associates and working with our TPA clients on complex retirement plans.  The manager contributes to existing programs while assisting with the development of new initiatives aligned with company and client goals. Additionally, the manager must be an organized multitasker with the ability to manage and delegate projects, review, and improve departmental processes, and meet tight deadlines.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES:

  • Analyze data and situations and develop solutions. Influence and guide senior management and external parties on actions to be taken.
  • Exercise judgment within generally defined precedents and policies, develops proactive plans to ensure that the plans remain compliant, initiates and plans projects, and develops the project design and schedule to meet overall objectives.
  • Promptly respond to inquiries, identify issues, and develops solutions to complex and diverse challenges concerning employees, managers, and external parties on subjects that relate to retirement plans, some of which contain confidential and sensitive information, which require tact and discretion in handling.
  • Plan, coordinate, and initiate employee, manager, and vendor interactions to ensure effective communications and handles elevated customer service matters from employees.
  • Perform compliance testing, including Actual Deferral Percentage (ADP) and Actual Contribution Percentage (ACP), coverage, etc. The plans assigned to the department manager will be more complex in nature as it relates to testing, contributions, etc.
  • Confirmation of participant eligibility and vesting
  • Preparation of plan reports, plan amendments and restatements, Forms 5500, related schedules, and Forms 1099-R
  • Reconciliation of trust assets and client issue resolution
  • Calculation and allocation of contributions and matching contributions
  • Advise clients on corrective procedures when plan failures are found. Calculate corrective costs when necessary and prepare corrective fillings when needed (form 5330)
  • Develop strong relationships with internal staff for both superior client servicing and cross-selling efforts
  • Train, manage, coach, and evaluate the performance of Plan Administrators I and II
  • Participate in the recruitment, interviewing, and hiring of Plan Administrators I and II
  • Communicate with delinquent clients
  • Assist clients with plan design, employee enrollments, strategies for maximizing plan benefits, provide audit support, facilitate second investments, and exit strategies (closing plan, stock buyback)
  • Develop and utilize quality control procedures
  • Make recommendations and revisions of the procedure manual as needed
  • Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
  • Participate in continuing education/training to keep current with the changing laws and regulations related to defined contribution plans, as well as the use of software systems
  • Contribute content to the company newsletter
  • Other duties as assigned

REQUIREMENTS:

  • High school diploma
  • Minimum of five years of retirement plan administration experience
  • Strong understanding of retirement plans, ERISA, and the Internal Revenue Code
  • Understand plan documents (Basic Plan Document, Adoption Agreement, Summary Plan Description (SPD), Amendments, Summary of Material Modifications (SMM), and annual notices)
  • ASPPA designation (QKA or similar) or comparable industry experience
  • Willingness to work extended hours to meet pre-determined goals and deadlines
  • Advanced experience with all Microsoft Office products
  • CRM experience (preferably Salesforce)
