Job Summary:

This position is responsible for the daily maintenance of the SmartData & Congruent System and all required daily tasks. The role will require weekly interaction with the Client Transition department for on-boarding SmartData & Congruent clients. The role will also require daily interactions with the 3(16) team, who will assist in supporting you.  This position requires attention to detail, accuracy and problem solving ability.    This position requires the ability to maintain high levels of confidentiality and the ability to work as part of a team.  Excellent communication skills and a full understanding of the importance of customer service is a must.    

Essential Functions:

New Business / Onboarding

Facilitate onboarding process for SmartData / Congruent includes:

  • Setup of SmartData and ancillary systems, including Congruent
  • Development of the payroll file with the client and payroll provider
    1. Mapping of plan document provisions to payroll file fields
    2. Mapping of payroll file fields to system fields
  • Testing the file as submitted by the client and/or payroll provider
  • Testing the file with the provider for certification
  • Training of the client / payroll provider on the file submission
  • Attending Client Transition led calls as requested

Project Management

Project management of Congruent Project includes:

  • Development requests
  • Interaction with Pentegra Strategic Development Team and Congruent Team
  • Documentation of processes and workflows
  • Interaction with Pentegra Marketing for Sales and training materials, including forms
  • Interaction with vendors of ancillary systems to resolve system issues


Daily support of SmartData and Congruent systems includes:

  • Client support in the form of emails and phone calls with clients and/or payroll providers – immediate response time expected
  • Monitor SmartData / Congruent dashboard hourly 
    1. Trouble shoot file errors and corrections
    2. Resolve Pentegra internal kick-out emails when a file will not process 
  • Review per pay data to confirm that eligibility was correctly determined
    1. Notify 3(16) Support Team of newly eligible participants to deliver enrollment materials
  • Monitor the Client mailbox and resolve emails, as needed 
  • Updating SmartData and ancillary systems for change requests from the client 
    1. Coordinate Client and Payroll providers in the event client hires a new company
    2. Calendar updates
    3. Changing payroll frequencies
    4. Updating contact information including adding / removing access for plan contacts
    5. Password resets
  • Requires interaction with Payroll Tracking and Late Payrolls department
  • Requires interaction with the 3(16) Team
    1. Prior Years of Service requirements 
    2. Dual Eligibility report 
  • Ensures 3(16) SmartData procedures are followed. 
  • Meets with 3(16) team daily to ensure all tasks are completed timely  


  • College degree preferred or minimum of 2 years of Retirement and/or Benefits Experience
  • Excellent verbal and written communication skills
  • Working knowledge of Relius “desired” 
  • IT Systems Experience **Required** 
  • Ability to work in a team environment as well as independently
  • Detailed Oriented
  • Excellent verbal and written communication skills
  • Problem solving ability
  • Provide a high level of service to Team and Clients         
  • Strong Excel
  • Excellent math skills
