ESOP Client Service Specialist

Position Summary:
The ESOP Client Service Specialist will support both the Alerus ESOP fiduciary and administration departments. Responsible for ensuring the maintenance of the high level of service our clients have come to expect. It is also a differentiating factor in new business situations. This support position will also enable the ESOP administration area to better focus on obtaining and servicing new business by allowing the team leads and account managers to focus on their specific goals and objectives more than coordination and day to day operations.

Essential Responsibilities
Job Function 1: Sales and Service Coordination – 100%

  • Prepare new business proposals and RFP responses for both fiduciary and administration clients and monitor status of such proposals.
  • Prepare new engagement and service agreements.
  • Coordinate the new business, account opening, & account transition processes to include: updating new business database; prepare and monitor completion of data / document requests, plan intake forms, and stock certificate exchange; schedule and create agenda for business transition meeting.
  • Monitor and follow up with Business Advisors regarding outstanding fee issues.
  • Provide organizational / clerical support with respect to ESOP practice group client files.
  • Support of ESOP trust administration and ESOP recordkeeping functions to include: gather annual admin reports from TPA’s; assist with participant distribution process; assist with employer loan payment process.

Position Requirements:

Qualifications:

  • Minimum of an Associate’s Degree; Bachelor’s degree preferred.
  • Prior experience with qualified retirement plans necessary with a focus on the operational and compliance aspects of retirement plans preferred.
  • Prior experience in coordinating the duties of many team members in one central location also preferred.

Physical Demands - Must be met with or without a reasonable accommodation:

  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer / laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 20 lbs.
  • Will spend most of time in an indoor environment.
