Job purpose

The position will advise an employer or plan sponsor in matters relating to retirement plans, review and analyze retirement plan documents, prepares and manages plan and funding documents related to retirement. Our ideal candidate would be an experienced Defined Contributions Consultant with a Bachelor’s Degree with designation as a Qualified 401(k) Administrator (QKA) or Qualified Pension Administrator (QPA) or Enrolled Retirement Plan Agent (ERPA) designation.

Job Description

  • Maintain relationships and consult with assigned clients to manage the completion of annual plan administration or special projects as defined in scope of services,
  • Work closely with Plan Sponsors, Record-keepers, Financial Institutions and Auditors to deliver practical solutions to help clients maintain their qualified plans,
  • Review, interpret and advise on Plan Documents, Amendments, Notices and Summary Plan Descriptions,
  • Consulting on issues related to IRS and ERISA compliance,
  • Adhere to engagement budget constraints and complete assigned tasks within the time requested to manage profitability of assigned workload,
  • Assist with proposals and new client conversions,
  • Complete or review all aspects of Annual Plan Administration including:
    • Employee data reconciliation,
    • Contribution/allocation calculations, including Match, Safe Harbor, Top Heavy, Profit Sharing and New Comparability,
    • ADP/ACP, Coverage, Top Heavy, Non-discrimination and other advanced Compliance Testing, including corrections of ADP/ACP Testing and Projected Testing,
    • Trust Accounting preparation and reconciliation,
    • Compliance Reports,
    • Governmental Filings such as Forms 5500, 8955-SSA, 5330, 1099-R / 1096 and 945,
    • Audit Support for Large Plans,
    • Calculation of Corrective Contributions and Distributions, including VCP and SCP filings,
    • Preparation and review of distributions and loans,
    • Maintain documentation of Client communications.
  • Assist with other functions relating to the administration of qualified contribution plans,
  • Perpetually build knowledge base to strengthen area of expertise,
  • Maintain systems proficiency to enhance client services delivery,
  • Manage productivity goals for team and company deadlines.  Facilitate 30-day completion and communication of Contribution Calculation letter to client,
  • Prove consistent production standards of the above two items by December 31st,   
  • Communicate potential concerns to Team Leader and Operations Manager,
  • Perform Annual Compliance Testing to demonstrate satisfaction of IRS regulations,
  • Review annual valuations prepared by outsourcing and/or team members and peers for accuracy,
  • Accurately and timely complete and/or review form 5500 for filing prior to the annual deadline,
  • Arrange and attend client meetings to ensure communication and satisfaction,
  • Develop and execute plans to improve customer satisfaction and overall quality of services,
  • Assist the Trust Accountants with client questions,
  • Assist the Data Collections department with acquiring information and coordinate with our Data Collections department mail-outs for plans,
  • Communicate plan issues inter-departmentally,
  • Proactively communicate outstanding invoices of 90 days or more to client(s) during the course routine interaction,
  • Provide technical guidance and direction,
  • Act as a back-up for team members,
  • Track jobs in Retirement Plan Administrator system (RPA) for timely completion,
  • Provide recommendations on suitable billing to be coordinated with Chief Financial Officer,
  • Additional duties as assigned


  • Bachelor's degree or equivalent business experience,
  • Eight years of experience working as a Compliance Consultant or closely related capacity,
  • Extensive client management experience with a proven history of retention and client satisfaction,
  • Advanced knowledge of the Employee Retirement Income Security Act of 1974 (ERISA) and related regulations,
  • Must have the ability to read and comprehend plan documents,
  • Strong attention to detail and the ability to prioritize, manage tasks and meet deadlines in connection with business operations,
  • The ability to clearly and concisely articulate retirement terminology to clients,
  • Must possess understanding of integral part and aspects of Retirement Plans with a special inference on 401(k) or defined contribution plans.
  • Must possess a QKA designation or be enrolled in and actively pursuing the designation,
  • Team oriented attitude and willingness to help others achieve,
  • Strong knowledge of English grammar, composition, spelling and punctuation,
  • Ability to analyze data, determine root cause, and provide and/or develop an appropriate solution for resolution,
  • Computer proficiency and a strong command of the Microsoft suite of products,
  • Advanced customer service skills including appropriate business etiquette in all dealings,
  • Excellent communication skills, including verbal, written, interpersonal and presentation skills,
  • Willingness to take on new duties and responsibilities as requested,

Working conditions

The position is generally performed in a standard office environment. The office is climate controlled and there is little to no exposure to the elements. The standard office hours are 8:00 am to 5:00 pm Monday thru Thursday and 8:00 am to 2:00 pm on Fridays with a few minor variations due to business needs and projects.

Physical requirements

The physical demands of the job include sitting for long periods of time, typing, visually reviewing data on a computer screen/monitor, standing, squatting, kneeling, bending, lifting and carrying files, office supplies, boxes of paper and office related items up to 40 lbs.
