Onboarding Specialist

Position Summary

The Onboarding Specialist works in conjunction with various teams and will be responsible for assisting in the setup, tracking and reporting of new and converting retirement plans. This position requires strong organizational skills, attention to detail and exceptional time management. The Onboarding Specialist position will be measured on their ability to accomplish tasks as assigned accurately and timely. This position will also be called upon to work on internal projects as needed.

Duties and Responsibilities:

  • Assist in the setup, tracking, and reporting of the onboarding process including investment provider setup
  • Complete and maintain internal databases in accordance with onboarding procedures
  • Assist in the gathering of conversion information from clients and prior recordkeepers
  • Prepare IRS Form SS-4 Application for Trust Identification Number for client signature, obtain TIN online and communicate number once assigned.
  • Complete plan document, by drafting the document and manuals for review and client signature
  • Complete plan set up with recordkeeper
  • Track and follow up on the process for all Onboarding tasks
  • Field inbound calls as needed from partners (e.g. financial advisors, insurance brokers, CPAs, consultants, platform wholesalers).
  • Achieve assigned goals related to turnaround times and accuracy
  • Provide support for incoming and outgoing communication
  • Communicate significant issues and exceptions to an appropriate higher level of authority within the organization in a timely manner
  • Support miscellaneous project work and other duties assigned by management as needed

Basic/Minimum Qualifications

  • Post-secondary education, or equivalent business experience
  • Previous client service experience, preferably in an office management environment
  • Advanced knowledge of MS Office Suite
  • Knowledge of QuickBooks
  • Builds and sustains relationships to work collaboratively and cooperatively as a member of a team
  • Effective problem solving and communication skills
  • Ability to manage change effectively
