Retirement Plan Documents Specialist, Houston, TX

Job purpose

The position will serve to plan sponsors and financial advisors for matters related to ERISA compliance, plan design and government reporting.  Use experience and knowledge to serve as a resource to internal associates.  Our ideal candidate would be an experienced retirement plan document specialist with a Bachelor’s Degree with designation as a Qualified 401(k) Administrator (QKA) or Qualified Pension Administrator (QPA) or Enrolled Retirement Plan Agent (ERPA) designation.

Job Description

Primary Responsibilities:

  • Plan installation: 
    • Review installation information / documentation provided by the sales team,
    • Prepare Retirement Plan Administration (RPA) installation memos addressed to all necessary parties,
    • Forward corresponding RPA jobs to all necessary parties,
    • Create the client folder with necessary sub-folders, and save all installation information / documentation to said folder,
  • New Plans:  review and correct brand new documents prepared by outsourcing team.  Send finalized documents to outsourcing for client delivery via email (I prepare hard copy if client requested).
  • Takeover Plans:  restate takeover plans –
    • Send restated Defined Contribution (DC) plans to Supervisor for review, make necessary corrections and send finalized documents to outsourcing for client delivery via email (I prepare a hard copy if client requested),
    • Send restated Defined Benefit (DB) plans to actuary for review, make necessary corrections and send finalized documents to outsourcing for client delivery via email (I prepare hard copy if client requested),
  • Amendments/Restatements:  Assign amendments with instruction to outsourcing for preparation –
    • Review amendment, and make any necessary corrections,
    • Send finalized amendment to outsourcing for client delivery via email (I prepare hard copy if client requested),
    • Restate documents as necessary (i.e. – too many discretionary amendments, Cycle Filers),
    • Defined Contribution Pension Protection Act (PPA) Restatement period (August 2014 – April 30, 2014),
  • Document Changes:  Revise currently installed documents as requested, and save revised documents in the client file.  Send revisions to client if requested,
  • Document / Amendment Signature Pages –
    • Received electronically – forward to outsourcing to process into LDSCO system,
    • Received hard copy – scan into the system and forward to outsourcing to process into the LDSCO system.
  • Annual Notices:  Prepare and review as needed,
  • “Document Staff” Emails:  Respond to all internal and external emails addressed to the Document Staff email address,
  • Serves as technical resource for Consultants,
  • Provide superior customer service, including problem solving with minimal inconvenience to clients,
  • Provides effective and timely verbal and written communications in a clear, concise and informative written manner,
  • Assists the client with all initial and ongoing plan design and document support,
  • Maintains up-to-date knowledge of present legislation and proposed legislative changes with regard to ERISA law through self-study and company-sponsored training sessions,
  • Assists auditors if a plan is subject to an audit,
  • Coordinate with all applicable parties, both internal and external, to ensure accurate conversion process for new clients,
  • Responsible for protecting, securing, and proper handling of all confidential data held by LDSCO to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to LDSCO or our clients,

Secondary Responsibilities:

  • Prepare responses to IRS inquiries regarding document (i.e. – provide document / amendment copies, prepare proposed amendment, etc.),
  • Assist my assigned consultants in administering plans and responding to clients regarding their plans (i.e. – conference calls, email chains, etc.),
  • Provide training on as needed basis to small groups or individuals,


  • Bachelor's degree preferred,
  • 3 -5 years ERISA experience in the retirement industry,
  • Experience in analysis of financial data required,
  • Experience in extensive client management experience with a proven history of retention and client satisfaction,
  • Advanced knowledge of the Employee Retirement Income Security Act of 1974 (ERISA) and related regulations,
  • Must have the ability to read and comprehend plan documents,
  • Strong attention to detail and the ability to prioritize, manage tasks and meet deadlines in connection with business operations,
  • The ability to clearly and concisely articulate retirement terminology to clients,
  • Team oriented attitude and willingness to help others achieve,
  • Strong knowledge of English grammar, composition, spelling and punctuation,
  • Computer proficiency and a strong command of the Microsoft suite of products,
  • Advanced customer service skills including appropriate business etiquette in all dealings,
  • Excellent communication skills, including verbal, written, interpersonal and presentation skills,
  • Ability to effectively plan and assign work and supervise support staff,
  • Willingness to take on new duties and responsibilities as requested,

Working conditions

The position is generally performed in a standard office environment. The office is climate controlled and there is little to no exposure to the elements. The standard office hours are 8:00 am to 5:00 pm Monday thru Thursday and 8:00 am to 2:00 pm on Fridays with a few minor variations due to business needs and projects.

Physical requirements

The physical demands of the job include sitting for long periods of time, typing, visually reviewing data on a computer screen/monitor, standing, squatting, kneeling, bending, lifting and carrying files, office supplies, boxes of paper and office related items up to 40 lbs.
