Leave of Absence Administrator

Status:  Exempt

Core Hours:  9:00 a.m. to 5:30 p.m.; Monday-Friday and additional extended hours as needed on a continual basis               

GENERAL SUMMARY:  Under the general direction and supervision of the Human Resources Manager, and following prescribed department, office and firm procedures, the Leave of Absence Administrator is responsible for the daily administration of the firm’s leaves of absence programs (including the firm’s medical and family leave policies); compliance with federal, state and local leave laws; Americans With Disabilities Act (ADA) and worker’s compensation.

The Leave of Absence Administrator is expected to perform all responsibilities with a commitment to providing superior service to the firm’s lawyers, efficient and effective departmental operations, and an atmosphere of teamwork and continuous improvement.  Above all, the Leave of Absence Administrator must fulfill the needs of the firm in a manner which is consistent with the Firm’s Core Values.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties are performed throughout every work day, as necessary):

  • Manage all aspects of leaves of absence for employees resident in the firm’s U.S. offices and U.S. expatriates including medical and family leaves, workers’ compensation leaves, long-term disability, military leaves and bar study leaves.
  • Monitor claims status and perform necessary follow-up with the firm’s third party leave administrator for disability and family leaves.
  • Provide information and guidance to employees regarding firm leave policies, applying for leave with the firm’s third party leave administrator, and applying for state/local disability and paid family leave benefits as applicable.
  • Coordinate and monitor military leaves and bar study leaves.
  • Advise employees approved for leaves of absence of pay schedule and distribution, coordination with any state or local disability insurance or paid family leave laws or workers’ compensation and any premiums payments due while on unpaid leaves of absence.
  • Coordinate and validate payroll adjustments for paid and unpaid leaves of absence to ensure accurate, timely payments.
  • Maintain and audit leave records in the firm’s time and attendance application, RollCall, for employees on continuous and intermittent leaves.
  • Track leave-related personnel actions in the firm’s HRIS, Lawson.
  • Monitor benefit premium payments for employees on unpaid leave for premium collection activities and correspondence.
  • In partnership with HR Manager and other senior HR leaders, oversee leave accommodations and work restrictions under the American with Disabilities Act.
  • Monitor and update senior HR leaders on legal regulatory changes in federal, state and local leave laws, including staying up-to-date on state and local disability insurance leave benefits. 
  • Work with employees returning from maternity leave and other extended periods leave and their legal practice or administrative department managers on a work reintegration plan as appropriate.
  • Maintain up-to-date knowledge and skills in assigned areas through professional reading, research and other professional development opportunities, recommend process and procedure updates and improvements as necessary, and implement same. 
  • Advance the effective use of innovative tools and process improvements to automate activities involved with leave management (e.g., calendaring, calculations, notifications, etc.).
  • Provide monthly report of unpaid leaves qualifying under the federal Family and Medical Leave Act for ACA compliance reporting.


  • Ability to read, write and speak English
  • Extensive demonstrated knowledge of federal, state and local leave laws including the federal Family and Medical Leave Act; District of Columbia Family and Medical Leave Act; California Family Rights Act; state and local leave laws in California, the District of Columbia, New York and Pennsylvania; Americans with Disabilities Act and workers’ compensation.
  • Thorough knowledge of MS Office applications including Word, Outlook, Excel and PowerPoint
  • Excellent interpersonal skills, including strong oral and written communication skills and the ability to communicate potentially detailed and complex information to others with tact and empathy

  • Bachelor’s degree required; an advanced degree and/or professional certification helpful
  • Minimum of 3-5 years of related leave administration experience
  • Prior experience in legal or other professional services environment preferred
