Implementation Coordinator

Position Summary

The Implementation Coordinator position is to “quarterback” an exceptional client experience in the transition and implementation of clients on the Retirement Plan Exchange with fiduciaryPATH program.  The Implementation Coordinator also will be the initial bridge from Marketing to other parties at PenSys related to our alliance partners and traditional plans. 

Primary responsibility is to coordinate the resources serving the client to ensure all parties are working in a coordinated and smooth effort to service the client.  This includes Documents, Administrative Consultant, Marketing, Distribution and Loans Dept, Accounting, PFS, Transamerica (or other alliance partner) and NFP (or other Financial Advisor).  Trust dept. for current traditional plan clients changing to alliance partner platforms

Essential Duties and Responsibilities

  • Upon the sale of a plan, the Implementation Coordinator (IC) sends out a welcoming email to the new client inviting them to a welcome call.
  • The IC will schedule the initial call to the client on the Outlook calendars of involved parties and include an agenda.  IC will lead the call informing the client of what to expect and introducing them to their “team” at PenSys and PFS, inviting each party to explain their role.
  • Follow-up email after the call to include contact information and itemize any follow-up items that are needed to proceed.
  • Coordinate with Marketing Specialists in the Plan Design checklist for new plans(if not handled by marketing)
  • Coordinate with all parties to schedule a Key Plan Provision call for takeover plans if KPP is not available at time of Welcome Call
  • Draft communication templates as needed and/or required to prior recordkeepers, TPAs, Trustees, etc. in order to obtain takeover information, and release assets to the new recordkeeper (if needed).  
  • Summarizing the provisions of the Plan on various formats provided by recordkeepers.
  • Identify priorities and monitor rush jobs independently.  Be aware and communicate IRS mandated deadlines.
  • Inform client of any “hitches” and what the resolution is. 
  • Be professionally assertive, if needed to stay on timeline.
  • Always portray PenSys, PFS, and service partners as an exceptional solution.
  • Coordinate and keep all parties apprised of their responsibilities and deadlines.
  • Become very familiar with who is responsible with every aspect of a conversion / implementation at PenSys.

Minimum Qualifications

  •  Ability to multitask, shift priorities, and work under pressure with competing deadlines.
  • Excellent organizational and problem-solving skills. 
  • Able to communicate professionally and effectively verbally and in written form. 
  • Self-motivated
  • The ability to learn new PC and internal work control skills quickly.  
  • Confidence in coordinating the various departments to achieve deadlines. 
  • At least a general understanding of discrimination testing and plan administration
  • Familiarity with the principal aspects of an  Adoption Agreement

Report to:

  • The Implementation Coordinator will report to the head of the Compliance Team.

Compensation and Benefits:

  • Compensation shall be negotiated with the CFO.  Benefits will be as provided by PenSys, Inc.
