Position Summary: The instituional assistant is primarily focused on assisting the institutional officers in
the selling and servicing of retirement plans and other institutional related accounts.
Assist in the organization and presentation of the ESOP acceptance and account opening forms.
the organization of file documentation, officer notes, and valuation assessment considerations for ESOP accounts.
Assist in ensuring that any exceptions related to ESOP accounts are noted, remain open, and are reported to the Institutional
Committee until resolved.
Become primary operations function for ESOP accounts, including but not limited to, processing distributions, sending and receiving and posting of wires, sending and updating stock certificates, sending and monitoring of
fee invoices, and documenting receipt of annual valuations and updating stock prices accordingly.
Manage the annual calendar relating to 401(k) accounts – census retrieval for year-end testing, filing of Form 5500, distribution of annual
Develop relationships with 401(k) plan sponsors and participants as a front-line administrative resource.
Develop relationships with our representatives at Empower to act as a back-up subject matter expert.
401(k) transactions as necessary.
401(k) presentation creation and binding.
401(k) education material curation.
Administrative support for not-for-profit investment management accounts (check processing, statements, etc.).
Back-up maintenance of donor accounting for not-for-profit investment management accounts.
Run liability and gift wrap reports for not-for-profit investment management accounts.
Donor contact person for not-for-profit investment
Wealth planning data entry as needed.
Assembles and distributes Institutional Committee packets.
Assists in maintaining complete and current policy and
procedures for WealthSouth regarding retirement plans.
Performs job duties in accordance with all applicable laws and regulations including BSA.
Performs other work related duties as assigned.
While performing the responsibilities of the job, the employee is required to speak English and hear. The employee spends significant time sitting at a desk and/or traveling. The employee may be required to lift up to 20
pounds to perform their job.
Education, Experience and skills required:
College degree preferred. Economics, Business, and Finance helpful.
