New Plan & Document Department Manager

Job Title:  New Plan & Document Department Manager

Reports To:  Director of Operations

FLSA Status:  Exempt


New Plan & Document (NPD) Department Manager is a management position in the New Plan & Document Department.  A NPD Department Manager will generally have 7-10 years experience, advanced level pension certification, or a combination of both. 

Essential Duties and Responsibilities:

  • Prepare, monitor, maintain and amend all internally generated plan documents
  • New Client Contact (sometimes in a sales capacity; calling leads; etc.)
  • Controlled Group studies
  • Develop and monitor application of policies and procedures for plan mergers, new plan setups, and problem resolution
  • Provides technical support and problem resolution methods to department employees, plan administrators, plan sponsors and plan trustees
  • Must be knowledgeable of relevant aspects of pension trust accounting and law
  • Complete familiarity with all company policies and procedures
  • Creating and updating department procedures and training manuals
  • Training department employees including lead discussions on new software updates and versions
  • Streamline and automate department procedures as changes occur with laws and/or client

Supervisory Functions

  • Monitor and assist all department employees
  • Overall supervision of plan set up at investment companies
  • Prepare and discuss performance appraisals
  • Responsible for authorizing PTO and conducting disciplinary action

Education / Experience

  • Associate’s degree (AA) or equivalent from a two year college or technical school; or
  • Seven years related experience and/or training; or equivalent combination of education and experience

Language skills

  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures and government regulations 
  • Ability to write reports, business correspondence and procedure manuals.  Ability to effectively present information and respond to questions from managers, co-workers, clients, and plan participants

Certificates, Licenses, Registrations

  • NPD Department Manager must have successfully completed the RPF-1 and RPF-2 (or equivalent) courses through the American Society of Pension Professionals & Actuaries.
  • Advanced level courses not mandatory but are strongly encouraged.     

Reasoning Ability

  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Ability to solve practical problems where only limited standardization exists 

Other Qualifications

  • Must be able to work effectively in stressful situations and effectively prioritize workloads to meet rigid deadlines 
  • Strong orientation to detail and good organizational and interpersonal skills
  • Must be able to multitask
