401(k) Plan Account Manager

Position Overview: This position is responsible for providing operational and relationship management support to the investment advisory firm’s qualified retirement plan clients. This position works with other members of the firm’s operations team and reports to the Director of Operations.

Major Areas of Responsibility

  • Collaborate with other qualified plan service team members to ensure firm’s qualified retirement plan clients are being serviced properly with accuracy and efficiency.
  • Manage relationships with plan sponsors, third-party administrators, and 401(k) plan vendors for assigned qualified retirement plans.
  • Manage conversion process for plans that are changing investment providers including coordination with the third-party administrator, custodian, recordkeeper, investment provider, plan sponsor, and plan participants to ensure conversion deadlines are met.
  • Collaborate with firm’s investment advisors to manage client onboarding process for new qualified retirement plan clients.
  • Work with third-party administrators to resolve complex participant and plan sponsor issues for assigned qualified retirement plans.
  • Assist retirement plan participants with plan servicing issues including but not limited to participant loan and distribution processing, enrollment, account access, etc. 
  • Coordinate with plan sponsors and investment advisors of assigned plans to schedule participant education and enrollment meetings.
  • Order and organize participant enrollment and/or education materials for assigned plan participant education and enrollment meetings.
  • Prepare assigned plan “Due Diligence” mutual fund spreadsheets for both wealth manager investment committee meetings and plan participant education/enrollment materials.
  • Attend qualified retirement plan meetings with 401(k) plan sponsors and participants as requested for assigned clients.
  • Manage and process plan mutual fund changes for assigned plans including but not limited to verifying fund availability, generating notices and fund profiles, updating education materials, and submitting necessary paperwork.
  • Coordinate with plan sponsor and TPA to ensure all applicable disclosure documents (e.g. 404(a)5, QDIA notice, fund change notice, etc.) are being distributed according to schedule and by appropriate parties for assigned clients.
  • Work with plan third-party administrators and firm’s Wealth Manager to ensure that eligible participants for assigned plans are withdrawing their required minimum distributions each year.
  • Obtain fee proposals from various plan providers for both new and existing assigned plans and prepare investment provider comparison spreadsheets as needed.
  • Maintain detailed and accurate notes and records in firm’s CRM system for all client-related interactions and tasks.


  • Bachelor’s degree preferably in business, accounting, finance, economics or related experience.
  • 5+ year of experience in client service, plan administration, and/or operations in the qualified retirement plan industry.
  • Proficiency in Microsoft Office, Excel, and PowerPoint; experience with CRM and participant recordkeeping systems.
