TPA Billing Manager

Overview
We are seeking a dynamic Billing Manager to lead our billing operations with precision, efficiency, and a client-centric approach. Reporting to the Billing Director, this role is critical to ensuring seamless
invoicing, accurate data management, and compliance with regulatory standards in a fast-paced financial services environment. The ideal candidate is an operational expert with hands-on experience in TPA billing practices, proficiency in platforms like
PensionPro, FT Williams, QuickBooks and NetSuite, a deep understanding of accrual and GAAP accounting, and a passion for driving team performance and process optimization.
Core Responsibilities
- Billing
Operations Management: Oversee the daily operations of the billing department, ensuring accurate and timely invoicing for clients, including employers, plan sponsors, and carriers. Manage payment processing and collections to maintain healthy cash
flow and minimize aged receivables.
- Data Accuracy and Integration: Manage file feeds and consolidate billing data across systems like PensionPro, FT Williams, and NetSuite. Validate data accuracy, resolve discrepancies, and streamline
processes to enhance operational efficiency.
- Regulatory Compliance: Ensure strict adherence to federal, state, and industry regulations, including 3(16) fiduciary standards and TPA fee structures (admin, base, and time-based charges). Conduct
regular audits to maintain compliance and mitigate risks.
- Team Supervision and Coaching: Lead a team of billing specialists, providing hands-on guidance, training, and performance feedback. Foster a collaborative environment that encourages
professional growth and accountability.
- Client Communication: Develop clear, professional communication materials to educate clients on billing processes, fee schedules, and payment expectations. Address client inquiries promptly to maintain
strong relationships and trust.
- Performance Reporting: Prepare detailed reports on billing metrics, payment trends, and outstanding balances. Use data insights to identify bottlenecks, optimize workflows, and support strategic
decision-making.
- Process Improvement: Identify opportunities to enhance billing procedures, implement automation where applicable, and collaborate with IT and finance teams to integrate new tools and
technologies.
Additional Functions
- Client Onboarding Support: Assist in onboarding new clients by setting up billing profiles, explaining fee structures, and ensuring a smooth transition into billing
operations.
- Cross-Functional Collaboration: Work closely with client services, accounting, and IT teams to align billing processes with organizational objectives and client needs.
- Technology Optimization: Stay abreast of
advancements in billing software and recommend upgrades or integrations to improve efficiency and scalability.
Qualifications
- Education: Bachelor’s degree in Finance, Accounting, Business
Administration, or a related field; relevant certifications (e.g., CBPA or equivalent) are a plus.
- Experience: 5+ years of experience in billing, collections, or financial operations, with at least 2 years in a supervisory role, preferably
within a financial services or TPA setting.
- Technical Skills: Strong proficiency in PensionPro, FT Williams, NetSuite, or similar billing and ERP platforms. Experience with data integration and workflow automation is highly
desirable.
- Regulatory Knowledge: Solid understanding of TPA billing practices, 3(16) fiduciary standards, revenue sharing, and ERISA compliance.
- Accounting Expertise: Deep understanding of accrual and GAAP accounting principles,
with the ability to apply these standards to billing and financial reporting processes.
- Leadership Skills: Proven ability to manage and motivate a team, with strong coaching and conflict-resolution skills.
- Analytical
Abilities: Keen attention to detail with the ability to analyze financial data and generate actionable insights.
- Communication Skills: Excellent verbal and written communication skills, with a focus on client-facing interactions and
internal collaboration.
