We are looking for an Experienced Distributions Specialist to join our team and play a key role in the efficient and accurate processing of retirement plan distributions and loans. Job Summary: As an Experienced Distributions Specialist, you will be the first point of contact for clients, advisors, and participants, handling inquiries related to distribution and loan requests. You will be responsible for reviewing and processing a wide range of distribution requests, ensuring compliance with plan specifications and regulatory requirements. Additionally, you will oversee various distribution-related projects, maintain strong client relationships, and ensure all sensitive data is handled with the utmost care and confidentiality.

Key Responsibilities:

  • Act as the first point of contact for client, advisor, and participant inquiries via email, phone, or fax, providing timely and accurate responses.
  • Review distribution paperwork for completeness and accuracy, ensuring all requests align with plan specifications and eligibility requirements.
  • Communicate with clients and participants to obtain any necessary documentation or authorizations for distribution and loan requests.
  • Process various types of distributions and loans, including lump-sum, in-service, hardship, ADP refunds, force-outs, Required Minimum Distributions (RMDs), and more.
  • Prioritize workload to meet established turnaround times and ensure efficient processing.
  • Oversee the quarterly force-out process, determining eligibility, sending proper communications, and processing resulting distributions.
  • Independently manage 1099R reporting, ensuring timely and accurate filing.
  • Actively engage in Operations meetings, identifying and escalating potential operational issues for resolution.
  • Lead and oversee distribution-related projects, utilizing discretion to prioritize tasks, allocate resources, and adjust timelines as needed.
  • Handle sensitive and confidential information with the highest level of professionalism and discretion.
  • Assist with the timely payment of taxes for Client Trust accounts and fulfill other tasks as requested by firm management.
  • Adhere to company service standards and promote a positive, proactive attitude within the team.

Qualifications:

  • Experience: 3+ years of administrative office experience, preferably in a retirement plan services or financial services environment.
  • Education: High School Diploma or equivalent required. Successful completion of Retirement Plan Fundamentals through ASPPA and NIPA Distribution Certification a plus.
  • Skills:
    • Proficiency in Microsoft Office applications (Excel, Word, Outlook), Adobe, QuickBooks, and ability to learn TPA-specific and custodian platforms.
    • Strong attention to detail and organizational skills.
    • Excellent communication skills with the ability to empathize with participants and maintain professionalism in sensitive situations.
    • Strong interpersonal skills with the ability to handle confidential information discreetly.
    • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
    • Self-motivated with the ability to work independently and as part of a team.
    • Experience with SRT/ASC platforms is a plus.
