Compass is a third-party administrator (TPA) that provides client companies with retirement plan design, administration, actuarial services, and ongoing consulting services to ensure our clients’ plans are in compliance with DOL, ERISA, IRS, and other regulations. Our headquarters are in Stratham, NH, but our clients are nationwide in various industries and sizes. We are passionate about the use of technology and are always looking for more streamlined ways to perform tasks.

What You Will Do

Job Summary:

The Distribution & Communications Specialist will serve as the primary point of contact, both internally and externally, for all distribution-related matters. They must ensure distribution requests are logged timely and accurately upon receipt and that all questions from recipients, plan sponsors, advisors, consultants, and vendors are responded to timely, accurately, and professionally. They will also assist in the timely processing of distributions from various retirement plan types and communication management for other departments as needed. They are expected to provide excellent customer service to recipients, plan sponsors, advisors, consultants, and vendors with minimal supervision. 

THIS POSITION CAN BE FULLY REMOTE, HYBRID OR IN-OFFICE IN STRATHAM, NH.  


Duties/Responsibilities:

  • Maintain distribution inbox:
  • Review inboxes throughout the day and direct emails accordingly.
  • Save and log new distribution requests and assign them to the appropriate party.
  • Respond to inquiries regarding distribution status or general distribution processes.
  • Prioritize incoming correspondence and email, forwarding what needs to be done to others. 
  • Respond to phone calls inquiring about distribution status or general distribution processes.
  • Provide timely and professional responses to all inquiries from plan sponsors, participants, advisors, and vendors.
  • Collaborate with other team members to ensure workload is managed effectively.
  • Contact clients to follow up on outstanding paperwork or outstanding items. 
  • Manage other company inboxes as assigned
  • Assist with distribution processing in times of high volume or when team members are out of the office. Those duties include:
  • Process retirement plan distributions, including separation from service, in-service, hardships, loans, and required minimum distributions (RMDs). 
  • Ensure accurate and timely processing of benefits to recipients in accordance with IRS and DOL regulations as well as Compass internal SLAs.
  • Provide loan schedules to plan sponsors to ensure loan payments begin timely.
  • Process force out distributions
  • Maintain accurate records of distribution transactions. 
  • File documents manually and electronically based on established criteria. 
  • Perform other duties as required. 

What We Are Looking For

  • Strong attention to detail.
  • Strong verbal and written communication skills using clear and grammatically correct language.  
  • Ability to communicate effectively with internal and external stakeholders.
  • The ability to problem solve, be proactive, and demonstrate initiative.  
  • Robust time management and organizational skills with the ability to multi-task required.
  • Proficient in using relevant software and tools for payment processing. 
  • Familiarity with retirement plan regulations and compliance. 
  • Familiarity with various record keeper platforms.  

Education and Experience:

  • High school diploma or equivalent required. (Additional certifications related to retirement plans a plus)
  • Prior experiences in retirement plan administration, distribution processing, or related fields.
