Plan Document Specialist

Position Status:  

This is a full-time position. Hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

In the performance of their respective tasks and duties all employees are expected to conform to the following:

  • Interact professionally with other employees, customers and suppliers;
  • Work effectively as a team contributor on all assignments;
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations;
  • Take ownership of client issues/concerns as to promote exceptional client experience.

Position Purpose:

This diverse position is a challenging opportunity for an individual with strong communication skills to assist team members and clients with various legislative, operational and plan design aspects of qualified defined contribution plans, including the production of volume submitter documents. The Compliance/Plan Document Specialist develops and produces plan documents that are in compliance with complex IRS requirements and accomplish the goals of the individual client, using our vendor’s software.

Essential Functions:

  • Prepare required and discretionary amendments and restatements of plan documents
  • Proactive educational and follow up contact with client base
  • Respond to client inquires
  • Understanding of Rainmaker Product – including banking, rollover, compliance, fair market value, appraisals, 5500s and testing
  • Ability to explain Plan Document provisions
  • Understanding and ability to communication IRS regulations and DOL provisions
  • Exercise judgment in determining acceptable data
  • Meet all deadlines with regards to internal and external due dates
  • Remain current on industry issues
  • Utilize available tools to meet or exceed client’s needs
  • Special projects as needed
  • Providing back up to all other departments (and organization) members
  • Perform other related duties as assigned

Qualifications:

  • Familiarity with Plan Document vendor software (ftwilliam.com)
  • ASPPA and or ERPA Credentials preferred
  • Bachelor's degree or an equivalent combination of education, training, and experience.
  • Knowledge of ERISA concepts, guidelines and compliance issues
  • Excellent customer service skills including the ability to manage client expectations and provide superior follow-up service.
  • Advanced working knowledge and understanding of retirement plan administration and associated regulations and IRS tax rules.
  • Must have the ability to work on multiple projects simultaneously, to think and make decisions quickly while maintaining accuracy.
  • Must have strong organizational skills.
  • Proficient with Microsoft Excel, Word and Outlook
  • Excellent written and verbal communication skills are required to ensure the daily projection of a professional customer-focused image.
  • Ability to effectively present information and respond to questions from partners, clients, customers and other employees of the organization.
  • Ability to interact at all levels within the organization as well as with external client and third party contacts.
  • Must be a team player but also work well independently, have a strong ability to problem solve and must pay close attention to detail.

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
