Retirement Distribution & Tax Specialist

Position Summary:
This position is responsible for oversight of trust check issuance processes and is the owner of the federal and state taxes. This person will have strong system knowledge enabling them answer client and ARB staff questions, be a part of testing, enhancements, staff training, issue resolution and new procedure implementation. This person will exhibit strong attention to detail, and be able to work in a fast paced environment quickly and accurately.

Essential Responsibilities:
Job Function 1: Federal and State Taxes - 35%

  • Responsible for the federal tax year end filing and corrections – 945 taxes.
  • W2 Quarterly/Annual filing and corrections – 941 taxes.
  • 1042 taxes – non-resident alien.
  • Responsible for state tax payments and state tax year end filing and corrections.
  • Oversight, assists, and executes 1099R processing and ordering.
  • 1099R corrections.
  • Manual Roth updates for 1099Rs.

Job Function 2: Distribution Management - 35%

  • Oversight of the trust distributions process.
  • Escheatment of money.
  • Perform distribution check corrections.
  • Monthly Advisor fee payments and TPA fees.
  • Stale dating checks.
  • Distribution check corrections, ACH returns.
  • Review hardships and loans.
  • ESOP and DB distribution file formatting and processing.
  • Responsible for implementing new procedures when policy changes due to management decisions or regulatory changes, creating procedures and training employees.

Job Function 3: Reconciliations and Training - 15%

  • Oversight of the Fed Control Account.
  • Oversight of the State Control Account.
  • Oversight of the Checking account recon and positive pay.
  • TPA monthly recon.
  • Spot check the cash recon for consistency along with filling in as needed.
  • Answer questions related to compliance on distributions and regulations.
  • Management of the Alerus Retirement and Benefits (ARB) checking account which includes monitoring stale dated checks, escheatment policies, and fraudulent activity.

Job Function 4: System Analyst - 15%

  • New release coordinator for our Trust system.
  • Pension System vendor relationship.
  • A resource for testing, system functionality, enhancements, new processes.
  • Year End tax update coordinator.
  • Manage day to day relationship with outside vendor. This includes answering questions, working with appropriate staff members or vendor contact to enhance relationship features, and assuring that files and transactions are running according to vendor contract.
  • Review and implement enhanced process and work flows when appropriate.

Position Requirements:
Qualifications:

  • Bachelor’s degree preferred.
  • 5 years of experience in retirement trust tax operations preferred.
  • Knowledge of retirement and recordkeeping systems and recordkeeping operational functions.
  • Demonstrated ability to collaborate with employees and customers.
  • Ability to effectively interact with end users and business sponsors.
  • Efficient in Microsoft Word and Excel including formulas and functions.
  • Ability to effectively prioritize and manage multiple assignments.
  • Proven record of working in a fast paced environment while managing multiple tasks & deadlines.
  • Available to work flexible hours to meet daily schedules & cover peak workloads.
  • Ability to accurately and timely perform data sensitive material.
  • Superior problem-solving orientation and attention to detail with exceptional organizational skills.

Physical Demands - Must be met with or without a reasonable accommodation:

  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 20 lbs.
  • Will spend most of time in an indoor environment.
