Position Summary

As Manager, Recordkeeping Services, you’ll be responsible for leading Definiti’s processing and participant call center teams. With a focus on customer delight, this proven leader will assess staff and processes, measure performance against operational goals and handle client escalations. 

The ideal candidate is adept at both setting direction and taking a hands-on approach to address issues as they arise. The Manager will identify opportunities to enhance Definiti’s service offerings, prioritize effective and proactive communication and lead change. This position reports to the Director, Recordkeeping Services. 

Requirements

Primary Duties and Responsibilities

  • Supervises the RK Processing Team manager and the Participant Service Center Team manager who manage direct reports.
  • Provides guidance, mentoring and coaching to direct reports who are responsible for operational performance of team members.
  • Oversees the implementation and ongoing maintenance of PensionPro.
  • Assists with the integration of newly acquired businesses.
  • Creates and maintains workflow processes based on SSAE/SOC principles to safeguard plan and participant account data.
  • Interfaces with the RK Specialist Team Manager and RK Trading and Reconciliation Manager to continue department growth.
  • Works across departments to ensure collaboration for shared goals. 
  • Implements special projects as needed.

Competencies Required

  • Strong knowledge of retirement plan services and daily recordkeeping.
  • Track record of leading recordkeeping processing teams with a focus on operational efficiencies and improving the overall client experience.
  • Thrives in a dynamic environment and able to balance multiple projects, leveraging strong organizational and time management skills.
  • Time management focus, with attention to deadlines and timelines.
  • Able to develop strong, trusting relationships with peers across the company.

Education and Qualifications

  • Prefer 8-10 years of managing daily recordkeeping teams, including supervising managers.
  • Proficiency in using the Relius Administration system, PensionPro and Microsoft Office Suite.
  • Associates degree required. Bachelor’s degree in business preferred or 8 years of experience in the retirement plan industry.
  • ASPPA’s RPF-1 & RPF-2.
