Job Title:  401(k) Testing Manager

Department: Compliance                     FLSA Status: Exempt               Job Status: FT

Reports To: Sr. Director – Retirement Plan Compliance Positions Supervised:  Compliance Analysts

Work Schedule: Monday – Friday, 8:30 am – 5:30 pm - flexible working hours

Assessments: Excel –Intermediate Competency 

POSITION SUMMARY

The 401(k) Testing Manager provides leadership and management to the 401(k) Testing team. The 401(k) Testing Manager acts as a subject matter expert, SME to the organization.

The 401(k) Testing team is responsible for performing required annual non-discrimination compliance testing for qualified retirement plans, including but not limited to ADP/ACP and Top Heavy Testing. The Compliance testing process, dictated by 401(k) regulations and documents that define the plan, includes reviewing data, performing calculations, analyzing results, and determining the appropriate correction.  The 401(k) Testing team communicates vital test results and corrective solutions to client companies and plan participants. An individual in this role utilizes a variety of proprietary software programs and Microsoft Excel to gather data and to perform a comprehensive analysis to ensure client requests are fully addressed.  

ESSENTIAL FUNCTIONS

  • Supervise the performance and development of compliance testing analysts and manages the work of contracted workers and consultants
  • Act as subject matter expert to external clients and internal stakeholders in the area of non-discrimination testing
  • Ensure work completed by the department is up to industry, regulatory and organizational standards
  • Develop internal procedures to manage internal processes
  • Provide support and direction on process and system-related issues to immediate supervisor and staff
  • Help define the business requirements for technological solutions
  • Provide coaching, feedback, guidance, and mentoring to the members of the testing team
  • Provide leadership to team members, including communicating team goals and identifying areas for new training and personal development
  • Assist with developing departmental strategies and policies associated with the company’s goals and initiatives
  • Demonstrate expert-level data driven decision making by leveraging and creating data and analytics, trends, and KPIs to effectively identify gaps and make recommendations for continuous improvement
  • Strategize with supervisor to create efficiencies and optimize workflows
  • Generate and provide reporting to the leadership including, but not limited to, performance metrics, forecasts, and project timeline reports, annual planning and forecasting of departmental activities
  • Manage employee information via PayCom including the preparation of employee performance review for submission to department manager and presentation to employee
  • Identify opportunities for employee performance management, including performance improvement plans (PIPs), work with department management for documentation
  • Assist management with identifying required departmental resources
  • Clearly communicates expectations and deadlines to team members
  • Conduct departmental and team meetings to update members on best practices and continuing expectations
  • Provide support for internal and external client escalations related team activities
  • Monitor team Control Sheets and to ensure all plan compliance tests are completed
  • Prepare IT requests and Internal Business requests for 401(k) Testing team
  • Maintain process documentation for 401(k) Testing team
  • Provide training to 401(k) Testing team members and update training manuals for process changes
  • Backfill 401(k) Testing team activities as required
  • Perform other duties and responsibilities as required

Experience

  • Minimum 3+ years of leadership and people management a plus
  • 3+ years of experience driving process improvement and data-driven problem solving experience required
  • Previous 401k plan administration experience is required
  • Experience using FIS Relius, Paycom, and Microsoft Office preferred

Education

  • Bachelor’s degree in business, finance, or related field of study or equivalent work experience required

Certificates & Licenses

  • Ability to obtain Retirement Plan Fundamentals (RPF) certificate required within 1 year
  • QKA license preferred
