The Recordkeeping (RK) Specialist is the database and reconciliation analyst for Definiti Bundled daily recordkeeping plans, maintaining the company database, internal CRM system and resolving recordkeeping issues while working closely with the Participant Service Center, their assigned Retirement Plan Consultant (RPC), and Implementation Coordinators.

Primary Duties and Responsibilities

  • Assigned a book of plans in coordination with the Retirement Plan Consultant (RPC)
  • Escalation point and provide backup for for RK Processors
  • Plan installation setup in coordination with the Implementation Coordinator
  • Request for Assistance (RFA) resolution
  • Distribution payment approvals
  • Coordinate Force-Out distributions with RPC and RK Distribution Processor
  • Update systems with any investment changes requested by the client
  • Fee processing on Relius and production of annual Fee Disclosures
  • Sub-TA fees and 12b-1 fee allocation
  • Advisor / Broker changes
  • Resolve and update database for transaction corrections in coordination with the RPC
  • Escalation point for reconciliation issues between the database and custodians
  • Facilitate and resolve issues with online transaction requests
  • Maintain plan specifications in Relius
  • Assist RPC with Trust Accounting for assigned plans
  • Prepare annual audit reports package and provide assistance to the RPC for audited plans
  • Handle escalated trade issues for assigned plans
  • Assist RPC with deeming past due loans
  • Quarterly statement review
  • Process the deconversion of terminating and transferring plans


  • Minimum 3 years of daily recordkeeping experience
  • Proficiency in using the Relius Administration system  
  • Strong knowledge of retirement plan services and daily recordkeeping
  • Ability to communicate clearly and concisely 
  • Proficiency with Microsoft Office applications including Word, Excel, and PowerPoint
  • Time management focus, with attention to deadlines and timelines
  • A track record of consistently meeting and/or exceeding performance expectations
  • Positive attitude and dedication to our client’s needs
