Client Services Manager

Job Title: Client Services Manager

Reports To: Director of Operations

FLSA Status: Exempt

Summary

Client Services Manager is a management position in the Client Services Department.  A Client Services Manager will generally have 7-10 years’ experience, advanced level pension certification, or a combination of both. 

Essential Duties and Responsibilities:

  • Monitor the plan documents for plan spin-offs and plan terminations.
  • Oversee the processing of plan distributions and loans
  • Implement and manage the processing deadlines daily
  • Assist participants and clients with any questions or concerns or direct them to the appropriate location to get the needed answer or information
  • Manage the clients expectation at the time of onboarding
  • Handle any escalated client/participant questions or concerns
  • Ongoing communication with employers and/or participants regarding plan distributions and loans and requested processes and procedures
  • Oversee and ensure the quarterly projected eligibility is done per instructions by employers and plan sponsors
  • Must be knowledgeable of relevant aspects of pension trust accounting and law
  • Complete familiarity with all company policies and procedures
  • Creating procedures and training manuals
  • Training department employees
  • Streamline and automate department procedures as changes occur with laws and/or client

Supervisory Functions

  • Monitor and direct assigned Client Service Representatives
  • Prepare and discuss performance appraisals
  • Responsible for authorizing PTO and conducting disciplinary action

Education / Experience

  • Associate’s degree (AA) or equivalent from a two year college or technical school; or
  • Two years related experience and/or training; or equivalent combination of education and experience

Language skills

  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures and government regulations 
  • Ability to write business and interoffice correspondence 
  • Ability to effectively present information and respond to questions from managers, co-workers, clients, and plan participants

Mathematical skills

  • Ability to calculate figures and amounts such as interest, proportions, percentages, etc., and to apply to practical situations 
  • Ability to apply concepts of basic algebra  

Reasoning Ability

  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Ability to solve practical problems where only limited standardization exists 

Certificates, Licenses, Registrations

  • Client Services Manager must have successfully completed the RPF-1 and RPF-2 (or equivalent) courses through the American Society of Pension Professionals & Actuaries
  • Advanced level courses not mandatory but are strongly encouraged

Other Qualifications

  • Must have strong financial, accounting and spreadsheet computer skills 
  • Must be able to work effectively in a stressful situation and meet tight deadlines 
  • Work requires strong interpersonal skills
  • Must be able to multitask
