Defined Contribution Document Production Coordinator

Job Description Summary

Responsible for the production of defined contribution funding documents (Group Annuity Contracts, mutual fund applications), commission documents, plan re-pricing documents, fee disclosure documents, plan service agreements, enrollment materials, etc. Also responsible for accurately setting up plan pricing on company business applications.

Job Description

Responsibilities

  • Ensure that document submission requests are complete and accurate.
  • Ensure that requests for plan setups and updates on company business applications are complete and accurate.
  • Update and maintain individual production documentation in company Work Management System.
  • Accurately prepare all documents appropriate to the submission request.
  • Prepare enrollment material data for submission to our fulfillment vendor.
  • Manage individual caseload to ensure that deadlines service standards are met.
  • Accurately establish new plans and update existing plan provisions on company business applications.
  • Review completed documents to ensure accuracy, compliance, and adherence to document-related quality standards.
  • Review completed enrollment material orders to ensure accuracy, compliance, and adherence to quality standards.
  • Review completed plan setups and plan provision updates to ensure accuracy, compliance, and adherence to quality standards.
  • Participate in special projects as assigned.

Qualifications

  • Demonstrated data-entry experience to produce documents that are accurate and timely in a high-volume, production-based, deadline-driven environment
  • Demonstrable experience with Microsoft's suite of business related software applications (Word, Excel, Access, etc.)
  • Demonstrated ability to manage multiple tasks with extremely high levels of timeliness and accuracy in a high-volume, production-based environment
  • Solid team-based mentality and proven ability to integrate into a closely-knit, high-volume, results-oriented department
  • Strong "get-it-done" mentality and customer focus with demonstrated ability to move work forward while dealing with internal pension professionals in a courteous, fair, professional and effective manner
  • Results oriented with demonstrated ability to "think on your feet" in difficult situations
  • Strong oral, written, and interpersonal communication skills
  • Desire to learn, communicate and apply Internal Revenue Service, Department of Labor, and State Insurance regulations to ensure the highest quality documents possible
  • Ability to recognize flaws in procedures and define appropriate business solutions

Preferred Qualifications

  • Pension or defined contribution plan experience.

Working Conditions

    Work setting is a typical office environment.

Job and compensation levels depend upon an applicant's qualifications including the extent of his/her relevant experience and other job related factors and will be determined by hiring supervisors/managers and HR.
